Terms & Conditions

Instrumental/School lessons 

Lessons will usually take place on school premises with permission from the school, however other locations may be used at the discretion of Vale of Glamorgan Music Academy staff. 

Lessons in school are dependent on agreement from the school to teach on the premises and during school hours. 

Lessons in school will be conducted at a time and day agreed between Vale of Glamorgan Music Academy staff and the school. 

Lesson payment is due in advance of any tuition starting. Options for payment are half termly, full termly or by direct debit over 12 months. 

Pupils receiving eFSM support, may be eligible for subsidies from the school. If you believe this is applicable to your child/children, please email info@vogma.co.uk with full details. This is subject to school confirmation. 

The price per half term/full term is an average based on a pupil receiving 34 lessons across 3 full terms in a school year (September to July). This will be up to a maximum number of 6 lessons per half term, term length depending. 

Over the course of a full year, pupils may receive more lessons during some terms than others. If a pupil has lessons for only part of the year, they will be charged the termly average based on 34 lessons across a full school year. 

In the event of students missing lessons through forgetting resources and instruments, Vale of Glamorgan Music Academy does not accept responsibility for "catch up" lessons. This will be counted as a lesson and no refund/discount issued. 

In the event of students missing lessons through pupil absence or the school not being available, Vale of Glamorgan Music Academy does not accept responsibility for "catch up" lessons. This will be counted as a lesson and no refund/discount issued. 

The tutor will attempt to rearrange sessions where more than 7 days notice of has been given for school closure, this is dependent on there being sufficient weeks remaining for that term. 

In the event of Vale of Glamorgan Music Academy cancelling a lesson, staff will rearrange. 

If lessons are cancelled during a half or full school term by parents/students then the full balance will be charged. 

We do not tolerate any abusive behaviour towards our staff. In the event of abusive behaviour being directed towards our staff by parents/guardians or students, lessons will be terminated immediately and no refund given. 

Ensembles 

Lesson payment is due in advance of any ensemble tuition starting. Options for payment are half termly or full termly. 

The price per half term/full term is an average based on a pupil receiving 34 ensemble sessions across 3 full terms in a school year (September to July). This will be up to a maximum number of 6 sessions per half term, term length depending. 

Over the course of a full year, pupils may receive more ensemble sessions during some terms than others. If a pupil attends ensembles for only part of the year, they will be charged the termly average based on 34 lessons across a full school year. 

Payment will be charged for a complete half term if your child starts after the ensemble courses have commenced. Payments are non-refundable.

In the event of students missing lessons through pupil absence Vale of Glamorgan Music Academy does not accept responsibility for "catch up" ensemble sessions. This will be counted as an ensemble session and no refund/discount issued. 

In the event of Vale of Glamorgan Music Academy cancelling a lesson, staff will rearrange.

Instrument Loans 

All pupils who receive tuition from Vale of Glamorgan Music Academy or attend a school where VoGMA is teaching can apply for a loan instrument, dependent on availability. 

There may be a half termly/full termly charge for instrument loans. 

Instruments are initially loaned to pupils for a period of up to 12 months. The continued loan is dependent on the pupil’s musical progress and participating in musical activities coordinated by Vale of Glamorgan Music Academy or the school. 

Upon cancellation or cessation of lessons, the instrument must be returned immediately to the pupil’s music tutor or directly back to Vale of Glamorgan Music Academy. 

The recipient of the loaned instrument is responsible for maintaining the good working order through replacing accessories such as strings, reeds, valve springs, other instrument replaceable parts and by undertaking regular cleaning of the instrument. 

The recipient of the loaned instrument is liable for any loss or damages caused to the instrument or any accessories which are not classified as general wear and tear. The recipient is advised to secure insurance to cover any such loss or damage, Vale of Glamorgan Music Academy do not provide insurance for any of its loaned instruments. 

Vale of Glamorgan Music Academy may, at its discretion, choose to withdraw a loan instrument at any time. 

Ensemble Blanket Consent
Parental Consent for routine events, concerts and visits with VoGMA

Vale of Glamorgan Music Academy will be hosting a variety of activities including concerts for the current academic year. Rehearsal and concert schedules for ensembles will be shared ahead of time. Should there need to be any changes you will be notified via email. We will also inform parents if there is a need to use a third-party provider with full details of the provider. Vale of Glamorgan Music Academy will ensure appropriate supervision is provided for children during any activities with robust risk assessments in place. Some ensemble staff will also be first aid trained. 

When enrolling your child for ensembles we may require your agreement, in advance, to any participation in off site visits or activities. This may be per activity or as a blanket consent across the current financial year for any children under 18 years. Off site visits are defined as venues other than the regular rehearsal spaces, details of which can be found on the relevant ensemble store pages. Consent is not required for weekly rehearsals at these venues. 

CODE OF CONDUCT FOR ALL ENSEMBLE MEMBERS
Applicable to All Ensemble Visits 

Whenever students are in public they represent the Vale of Glamorgan Music Academy. They are expected to always be courteous and considerate, remembering that their behaviour is a reflection upon the Vale of Glamorgan Music Academy and its brand.

Members will not be allowed to leave the group on their own at any time.

If given free time, members are expected to return at the agreed place and time to check in with the activity leader. Members must never be late for these check ins.

Students are expected to have good road safety awareness and must always be aware of traffic when crossing roads, especially as a group.

Dropping or leaving litter is prohibited and students must keep it until they are able to dispose of it responsibly.

Chewing gum, smoking, drinking alcohol or taking illegal substances is expressly forbidden.

Students must ensure all their property is labelled appropriately with details such as name and postcode. The Vale of Glamorgan Music Academy accepts no liability for any student’s property which may become lost or damaged.

The Vale of Glamorgan Music Academy is not responsible for any valuables of students. Any mobile phones brought by students will only be used to contact parents with staff approval.

Parents or guardians with inform Vale of Glamorgan Music Academy with any changes to the medical or physical disabilities or psychological conditions of any student, including changes to their emotional wellbeing or mental Health issues that may impact their ability to participate in activities. The Vale of Glamorgan Music Academy must also be informed about any changes to emergency contact details.

Parents or guardians agree to pay for any loss, damage, or injury, which may be occasioned, to any person or property solely through the misconduct or carelessness of my child.

All young people are covered by the VoGMA’s third-party public liability insurance in respect of any claim arising from an accident caused by a defect in the premises / venues or equipment or attributable to negligence by the Council or one of its employees.  Please note that this insurance policy does not include personal accident, or personal belongings cover for your child.  

By accepting the terms and conditions, I understand the extent and limitations of the insurance cover provided.
